When a Renter Is Picking Up Your Car

Overview

A smooth pickup sets the stage for a great trip. Preparing your car and documenting its condition protects you, helps the renter feel confident, and ensures everything goes according to plan.

Before Pickup

1. Prepare your vehicle

  • Clean both the interior and exterior.
  • Make sure the gas level and mileage match what's listed in your trip details.
  • Remove personal belongings, but keep required items like registration or parking permits.
  • Double-check that everything is working properly (tires, lights, fluids, etc.).

2. Confirm pickup details

  • Review the pickup time and location in your Upcar trip summary.
  • If you're delivering the car, plan to arrive early and park in a visible, easy-to-find spot.
  • Message the renter in the Upcar app if you need to make any adjustments — keeping all communication in-app ensures both sides are protected.

3. Document the car's condition

  • Take clear, timestamped photos of the vehicle's exterior (all sides), interior, odometer, and fuel gauge.
  • Upload these in the Upcar app before the handoff.
  • These photos are your record in case any issues arise during or after the trip.

During Pickup

1. Verify the renter's ID

Check that the renter's driver's license matches the name listed on their Upcar profile. If it doesn't match, don't release the vehicle — contact Upcar Support instead.

2. Walk around the car together

Show any existing marks, scratches, or wear so you both agree on the car's condition before the trip begins.

3. Confirm fuel and mileage

Compare what's on the odometer and fuel gauge to your pre-trip photos.

4. Hand over the car

Once you're comfortable and the renter has verified everything, hand off the keys (or confirm the digital unlock).
Make sure the trip status updates to "In Progress" in the Upcar app.

After Pickup

Keep your photos and documentation saved. You'll need these same angles when the car is returned.

Pro Tips

  • Take photos even if the trip is short.
  • Be on time — punctual hosts get better reviews and repeat renters.
  • Contact Upcar Support immediately if something doesn't feel right or if the renter doesn't arrive.
